Our client is an international Healthcare Group that owns a chain of medical aesthetics and wellness centers in Singapore, and overseas Markets in China and Malaysia, which provide one-stop medically-proven beauty solutions for the face and body.

 

For our client, Talent Fishers is looking for a Planning & Organizing Senior Executive (P&O)

 

Job Location: Singapore

Reporting to: CEO

 


MISSION



She is responsible for providing high-level administrative and executive support to the CEO, by developing and executing marketing strategies to drive brand awareness, customer engagement, and business growth.


She plays a crucial role in ensuring the smooth and efficient operation of the CEO's office, allowing the CEO to focus on strategic priorities and key business initiatives.


 


Territories:       Singapore, China Mainland, and Malaysia


 


 



JOB RESPONSIBILITIES



  • Handle a wide range of administrative tasks, such as managing correspondence, filing, and document organization.
  • Liaise with internal departments and external stakeholders on behalf of the CEO to address inquiries and resolve issues.
  • Conduct research, gather information, and prepare detailed reports, presentations, and briefing materials as requested by the CEO.
  • Assist the CEO in the preparation of budgets, financial reports, and other critical business documents.
  • Coordinate and facilitate communication between the CEO and the regional management teams in China and Malaysia, ensuring the timely flow of information and action items.
  • Proactively identify opportunities to improve processes, increase efficiency, and enhance the CEO's productivity.
  • Maintain a high level of discretion, confidentiality, and professionalism when handling sensitive information.
  • Provide backup support to other administrative staff as needed to ensure the smooth operation of the organization.

 


 



SKILLS & BACKGROUND



  • 3-4 years of experience as an executive assistant or in a similar high-level administrative role, preferably in the medical, healthcare, or professional services industry.
  • Demonstrated ability to manage multiple priorities, meet deadlines, and work efficiently in a fast-paced, dynamic environment.
  • Excellent organizational, time management, and multitasking skills with a keen attention to detail.
  • Strong written and verbal communication skills, with the ability to interact effectively with individuals at all levels of the organization.
  • Savvy with digital and IT tools. Prior experience with Google Workspace, Google Doc / Gsheet, 365 MS Word, excel, and GenAi will be an advantage.
  • Proficient in using flowcharting, tables, charting, and PowerPoint to present ideas to assist directors and communicate analysis and recommendations for decision
  • Outline presentation & guide assistant to create ppt. obj is to ensure effective communication
  • Strong presentation skills both to the directors and to frontline staff during weekly meetings.
  • Proven ability to exercise sound judgment, discretion, and diplomacy when handling sensitive information and situations.
  • Proven ability to create results through conducting weekly meetings and initiating ad-hoc meetings.
  • Familiarity with the medical aesthetics and wellness industry, or the healthcare sector, is highly desirable.
  • Fluency in English and Mandarin is required
  • Willingness to work flexible hours and travel within the region as needed.
