Our client is a leading international company in the field of retail design and visual merchandising. With design and production centers both in Europe and in China, the company operates worldwide handling several kinds of retail projects from design to execution in the high-end segment.

 

For this client, Talent Fishers is seeking a Head of Finance & Operations to support the company's growth in the Chinese market.

 

Location: Guangzhou, China

Reporting to: China General Manager, Group CFO & Group CEO

 

 


MISSIONS & RESPONSIBILITIES



 


  • Manage and recruit the accounting team together with the General Manager ("GM”) of the Company and the Head Quarter (“HQ”) Chlef Executwe 0ffIcer (“CEO”) and

Financial Officer ("CFO"), monitor the bookkeeping and financial reports to be timely,


truthful and correct;


  • Appointed  as  Financial  responsible  with  Tax  Bureau,  solve  arising  issues,  prepare explanations, go to meetings. Before to speak about fiscal relevant themes and to go with the Tax Bureau he will have to share the main elements with the GM and the HQ CEO and CFO;
  • Check and monitor the fiscal aspects in order to be compliant with the Chinese Law;
  • Cost control and Internal control, implement related procedures. For the procedures he will have to get the final authorization from the GM of the Company and the HQ CFO;
  • Check all the incoming invoices for approval and acceptance, make sure the cost is approved;
  • Arrange the payments after the approval of the GM and the HQ CFO , get the payment approval request and produce the reports and the further explanations that may be required by the GM of the Company and the HQ CFO;
  • Prepare and Submit monthly financial reports to the top management, including European format as CEE VI Directive and statistics/profitability analysis reports;
  • Submit special reports required case by case by HQ and consultants;
  • Assist during quarterly internal audits made from Italian Group CFO;
  • Manage the intercompany reconciliation and TP calculations after the approval of the GM and the HQ CFO;
  • In charge of yearly audit by Audit firm. Act as liaison with external consultants (and lawyers if relevant);
  • Manage the environment and social responsibility company certifications and the relations with the quality consultant and the certifications companies. Manage also the product certifications. Share this activity also with the GM, the Italian HQ CFO and CEO;
  • Keep archive of Corporate Governance documents related to Profit distribution;
  • Keep the archive of M01 and M02 and issue Purchase Order ("PO") to the supplier based on the purchasing procedure. Every M01, M02 and PO must be signed by the GM and the Italia HQ Chief Executive Officer ("CEO"). Send the weekly report of the active and passive company orders to the Italian HQ;
  • Check the Costs of Goods Sold of the month, all the costs should be accounted for and under the correct project, collect the missing cost and information from colleagues and issue missing PO after the signature of the GM and Italian HQ CEO;
  • Check the Overtime every month and monitor employees annual leave, to be done within the fiscal year, and late penalty. Share this data with a monthly report to the GM, the Italian HQ CFO and CEO;
  • Responsible for the main operations with legal, tax, payroll and customs consultants and the other consultants used by the company. Drafting of the contracts and sharing of this activity with the GM, the Italian HQ CFO and CEO;
  • Archive/record keeping of all the contracts, forms and docs required by clients and suppliers and other service agreements. A list of the contract must be send every quarter to the GM, HQ CEO and CFO;
  • Monitor the account receivables and intervention for most important cases where the credit accountant alone is not enough. Responsible of the debt collection activities with the customers for the maintenance of company liquidity and extension of suppliers' payment conditions;
  • Liaison with banks for special issues, opening, updating accounts, special financial products. Prepared factoring and credit letter to the banks. Every operation with the bank must be authorized by the GM and must have the final approval of the HQ CFO and HQ CEO;
  • Manage the server and ICT with our Italian consultants, and software licenses and PC set-up (onedrive etc). Every quarter he will send a brief descripti·on of the most important IT themes to the HQ IT manager and HQ CEO;
  • Development of the new ERP system implementation decided by the Italian HQ, with a monthly report of the implemented activities. Promote and organize the office automation in general to improve speed and quality of work. Every implementationmust be authorized from the GM of GOT and the HQ CEO;
  • Manage Human Resources, job posting and interview, enrollment procedures, labor contracts, terminations, and other related legal matters. Every hire and amendment and termination must be authorized from the GM of GOT;
  • Responsible of the logistic office and the shipment planning, the choice of the main forwarders, the custom aspects, and the other relevant logistic activities. Check, together with the Italian HQ of the new shippers and carriers to be used in the company and the main logistic operational aspects;
  • Verification and coordination of the weekly compilation of the job list and the weekly sending to the HQ. Weekly evidence of the non-conformities project codes;
  • Responsible for all the management flows and operations related to administration, logistics, payroll, IT, purchasing. Must always be present in all the emails relating to all the administrative, logistical, IT, payroll and purchasing aspects and the other relevant aspects of the company projects;
  • Must be present in the chats of the "we chat" company applications (and all the other tools that the company will decide) to monitor the main projects aspects given by its duties and position;
  • Responsible for the data filling of the customer lntemet portals and cpllecting data for tenders and other events entered into the portal according to the various deadlines. The data will need to be shared with the GM, the Italian HQ CFO and CEO.

 



KNOWLEDGE, SKILLS & ABILITIES   



  • Bachelor’s degree or above in Finance, Accounting, Business Administration, or a related field.
  • Certified Public Accountant (CPA) or similar professional certification would be highly advantageous.
  • At least 5 years of relevant experience in finance and operations management, preferably within an international company.
  • Proven track record in managing accounting teams and handling financial reporting.
  • Experience in dealing with Chinese tax authorities and ensuring compliance with local tax laws.
  • Familiarity with intercompany reconciliation and transfer pricing (TP) calculations.
  • Proficiency in Italian, English, and Chinese, both written and spoken.
  • Experience in managing audits, including coordination with external auditors.
  • Knowledge of ERP systems and experience in implementing new ERP systems would be beneficial.
  • Previous experience in managing human resources, including recruitment, contract management, and payroll.
  • Experience in logistics management, including shipment planning and customs operations.
  • Familiarity with IT infrastructure management, including server management and software licensing.
  • Strong analytical and problem-solving skills, with the ability to manage complex financial and operational tasks.
  • Excellent organizational and time management skills, with the ability to prioritize and handle multiple tasks simultaneously.
  • Strong communication and interpersonal skills, with the ability to interact effectively with senior management, colleagues, and external consultants.
  • Proficiency in Microsoft Office, particularly Excel, and experience with financial software.
  • Ability to work independently and take initiative, while also being a strong team player.
  • Attention to detail and accuracy in financial reporting and data management.
  • Strong leadership skills, with the ability to manage and develop a team.
  • Adaptability and flexibility to work in a fast-paced, dynamic environment.
  • Knowledge of Chinese corporate governance and legal requirements related to profit distribution and other financial matters.
